Johnston, Rhode Island, The Documentation Team Leader will work closely with the Head of Documentation in managing the Documentation team based on the Johnston, RI campus of Citizens Asset Finance, a division of Citizens Bank, N.A. (“CAF”). CAF will consider all candidates regardless of location, but given the managerial responsibilities of this position, strong preference will be given to candidates that can work out of the Johnston, RI office. CAF provides commercial equipment leases and loans to its customers.
The Documentation Team Leader will report to the Head of Documentation and will have a number of Documentation Specialists reporting directly to him/her. The Documentation Team Leader will be responsible for overseeing the work of the Designated Documentation Specialists and ensuring that all transactions handled by the Designated Documentation Specialists are closed, funded and booked in accordance with credit approvals and CAF’s policies and procedures. The responsibilities will include the following.
Monitor deal flow among the Designated Documentation Specialists, and consult with the Head of Documentation on overall deal flow among the entire team
Review of outgoing documents, funding packages and Rapport (booking system) entries prepared by Designated Documentation Specialists, and as necessary for other Documentation Specialists
Authorize wires to fund approved transactions
Advise Designated Documentation Specialists on the proper booking of transactions in Rapport (system of record) and understanding the impacts of such booking on Infolease (back end lease accounting system)
Ensure CAF RAACs are implemented through all stages of the lease/loan process; from negotiation to document creation and closing
Assist Commercial Leasing Operations team with questions related to transaction bookings
Attend pre?screen transaction meetings and weekly sales pipeline meetings, when applicable
Assist Documentation/Syndication Leaders with required review of documents
Coordinate with the Head of Documentation with respect to ongoing training of Documentation Specialists
Proactively identify areas for improvement and automation; partner with the Head of Documentation to implement process improvements
Special Projects and Requests on an as needed basis
The Documentation Team Leader will also be responsible for closing transactions with CAF customers as needed to provide additional capacity and/or coverage when Designated Documentation Specialists are not available, and, in connection therewith, will have the following additional responsibilities:
Driving the closing process on all lease and loan transactions with the customer, investors and external counsel.
Understanding CAF’s financing documents in order to provide expertise to the Sales group and customers as to the proper documents required for specific transaction structures
Partnering with different business lines, such as, credit, risk, pricing, legal and asset management to ensure lease/loan documentation and risk management matters are addressed
Qualifications
A minimum of 7-10 years experience in similar roles with a strong background in finance and/or documentation preferably in the leasing industry
Managerial Experience required
Operations background/experience, particularly with systems of record (Rapport and Infolease)
A high level of attention to detail and an understanding of lien perfection requirements
An understanding of equipment leasing and finance transactions
An understanding of lease/loan documentation requirements
An “in-the-trenches” mindset, willing to immerse himself or herself in the organization, its mission and vision
Must exhibit strong verbal and written communication skills and interpersonal skills
Strong organizational skills with the ability to multi-task in order to meet deadlines with a high level of accuracy
Intermediate MS Office skills
